The big picture

How your stories become an approved record, and how that record drives companies, roles and everything CareerBot writes.

CareerBot rebuilds your professional profile from the record of your career, then uses that record to aim your search, write your applications and draft the messages you send to the people who hire. Nothing it writes says more than what you approved.

From your stories to a record

You tell the story of each job in your own words, the way you'd tell a friend: what the place was, what you did, what changed because of you. CareerBot reads each story and proposes what it found: roles, facts, context and, later, insights across your career. Each proposal waits in Review until you Approve it, Edit it or Reject it.

Only what you approve becomes your record. Every later step reads the approved record, never the raw proposals.

In your story

Brightwater has to ship full cases or the grocery chains charge us for every short one. I kept the fill rate above 98% for eight quarters in a row, even after the product line grew by a third.

The fact CareerBot proposes

To review

Kept the case fill rate above 98% for eight straight quarters while the product line grew by a third, the longest run in Brightwater’s history.

The record and approval explains what the record holds and how review works.

From your goals to directions and limits

You write your goals as a story too: what you want next, what you won't do, where and how you want to work. Reading it proposes:

  • Directions: the kinds of work you're going for, each with its positioning, target titles and the criteria search uses to find companies.
  • Limits: pay, location, seniority, the companies you'd rule out and other lines you draw. A firm limit sets roles apart; a preference ranks them lower.

Both wait for your review like everything else. Goals, directions and limits covers every setting that filters or ranks.

From directions to companies and roles

For each direction with approved criteria, CareerBot searches Apollo for companies, screens out the ones that don't hire for themselves (staffing agencies, job boards and the like), and fills in free details from each company's own website. You rate them Target, Maybe or Not for me.

Roles come from the job boards of your Targets and Maybe companies, read directly every morning. Each role is sorted into the directions it could be, then ranked for each one: strong, some, weak or none, with a score from 0 to 100 and a sentence on why. Companies and roles has the details.

From the record to what you send

Resumes (a base one, one per direction, and one tailored to each role), cover letters, answers to application questions, first messages to people and follow-up emails are all written from approved facts. Each line shows the facts it rests on, and when a fact changes, the lines resting on it are marked. See Resumes, letters and outreach.

Two paths into a role

Each pursuit can take two paths, with equal weight: Apply through the posting with your tailored resume, cover letter and answers, or Outreach to the people who hire, the hiring manager, someone on the team or a recruiter, with a short message drafted from your record. A pursuit can take both. Too many people apply and wait; CareerBot would rather you also get in front of a person. Either way it never sends anything: you apply, and you send every message from your own inbox. Two paths has the details.

Today

Today is the daily list: what's waiting in Review, reminders for your pursuits, and New strong roles: strong fits ranked in the last week that you haven't rated or started yet. Until you've set things up, it also shows the Getting started steps.

Your keys, your budgets

On careerbot.dev, AI can run on CareerBot's AI, included in your plan up to a monthly allowance, with nothing to set up. Otherwise every paid call runs on your own accounts: AI through your OpenRouter key, company search through your Apollo key, and an optional Brave Search key for finding job boards. With your own OpenRouter key you set a monthly AI budget, and the Apollo credits you set aside, in Settings, under Budgets and spending. No AI work runs on your own key until you set an AI budget, and work pauses when a budget or allowance is reached. See Budgets and costs and Background work and Activity.

What to expect

CareerBot isn't fast, and it isn't a resume rewriter. It doesn't start from an old resume or a profile you paste in; it starts from your own words. Telling the story of one job well takes real time: 20 minutes or more a job is normal. Reading stories, ranking hundreds of roles and writing a tailored resume each take minutes, not seconds, and run in the background while you do something else. What you get for that is a record you trust, and applications and messages that say only what's true of you.
