Privacy

Updated October 31, 2026

This policy explains how CareerBot (we, us) collects, uses and shares information when you use careerbot.dev. CareerBot exists to help with your own job search, and we treat what you put into it accordingly.

Information we collect

Account information. Your name and email from Google or GitHub when you sign in, and when you last signed in.

Content you add. Your stories and the career record built from them, goals, directions and limits, companies and roles you rate, applications and outreach, resumes, cover letters, notes, and the people you choose to contact. Speaking a story uses your browser’s own speech recognition, which may send your voice to your browser’s maker (Google, Microsoft or Apple) to turn it into text; we keep no recordings.

Connected services. If you connect Google Drive or GitHub, we access only what you allow: the files CareerBot creates in your Drive, and the repositories you choose, read-only. Keys you add for third-party services are stored encrypted and used only to make calls for you.

Payment information. If you pay, our payment processor collects your card details; we never receive them. We keep your plan, its status, and the amount and date of each payment.

Usage and technical information. What CareerBot does for you and what each paid step cost, when your account first reached each step of getting started, and the technical information any web service receives, such as your IP address, browser and device, in our hosting providers’ logs.

Communications. Emails we send you and messages you send us.

How we use it

To provide CareerBot: building your record, finding and ranking roles, writing resumes, letters and messages, and the other features you use.

To support you: answering your requests, which may mean looking at the parts of your account the request concerns.

To keep CareerBot working and safe: fixing problems, preventing fraud and abuse, enforcing our Terms, and protecting you, other people and us.

To run the business: billing, spending limits, and understanding how CareerBot is used, from usage and cost records and totals across everyone. We review the content of your account to improve CareerBot only with your permission.

To meet legal obligations, and to tell you about your account, changes to CareerBot or these policies.

We don’t sell your personal information, use it for advertising, or share it with employers.

AI processing

CareerBot’s features run on AI models. To do the work you ask for, we send the needed parts of your content and of job postings to model providers through an AI routing service, using our account or a key of yours. We don’t use your content to train AI models. How a model provider handles what it receives, including whether it keeps it, depends on that provider and its terms.

AI can be wrong. Check what CareerBot writes before you rely on it or send it.

How we share it

With service providers that run CareerBot for us: hosting and database, AI processing, payments, email delivery, and privacy-friendly website analytics. They handle it under their own terms. The current list, with what each receives, is in our docs.

With services you connect or ask us to use, such as Google Drive, GitHub, or company and contact search services, which receive what the feature needs (for searches, terms such as company names and job titles, not your stories or record).

For legal reasons and safety: when we believe the law requires it, or to protect the rights, property or safety of you, other people or us.

In a business change: if CareerBot is part of a merger, acquisition, financing or sale of assets, your information may transfer to the new owner, who must honour this policy for information already collected.

With your consent, in any other case.

Who at CareerBot can see it

Our team’s tools show account details (name, email, plan, spending, sign-in and billing status, and errors in background work), not your content. Authorized people can access stored data directly, only for the purposes above: support you’ve asked for, fixing problems, security, and legal requirements.

Cookies and similar technologies

We use what’s needed to keep you signed in and remember your preferences and unsent drafts. Our public website pages count visits without cookies and without following you to other sites; the signed-in app isn’t measured, and there’s no advertising tracking. If your browser sends Global Privacy Control or Do Not Track, your visits aren’t counted.

How long we keep it

We keep your account and content until you delete them or your account. Exports are deleted an hour after they’re made. Waitlist entries are kept until you remove yours with the link in our email or ask us to remove it.

When you delete your account, we delete your content and account, revoke our access to connected services, and cancel any subscription. We keep only what we need afterwards: records of emails we sent and of our team’s actions, payment and subscription records needed to finish cancelling, and what we must keep for legal, tax, accounting or security reasons or to resolve disputes. Our payment processor keeps its own records.

We back up stored data automatically and keep backups for a limited time, after which something deleted is gone from them. Our hosting providers also keep data under their own policies.

Security

We protect your information with measures such as encrypted connections, encrypted keys and separation between accounts. No service can be perfectly secure. If a breach affects your information, we’ll tell you as the law requires. Keep your Google or GitHub sign-in secure, since it protects your account.

Your choices and rights

You can see and change your content in CareerBot, export all of it from Settings, Your data, and delete your account there. You can disconnect Google Drive or GitHub at any time.

Depending on where you live, you may have rights to access, correct, delete or move your information, or to object to or limit some uses. Write to privacy@careerbot.dev and we’ll respond as the law requires. We may need to confirm it’s you first.

Where it’s stored

CareerBot is run from the United States, and your information is stored and processed there. By using CareerBot from elsewhere, you understand it will be.

Children

CareerBot is for people 18 and over. We don’t knowingly collect information from anyone younger; if we learn we have, we delete it.

Other parts of CareerBot

The demo keeps nothing you type or change. A copy of CareerBot that someone runs themselves keeps its data in their own accounts, not ours; such copies may check our website daily for new versions, which shows us the server’s IP address and nothing else.

Changes and contact

We may update this policy. The date at the top shows the latest version. If a change is significant, we’ll tell you in CareerBot or by email before it applies.

Questions about privacy go to privacy@careerbot.dev; anything else to team@careerbot.dev. Read this with our Terms.
